REQUEST A QUOTE ยท FREE EDITION

Request a Quote Free: setup guide.

A separate quote list, a manual proposal and an Essential PDF with your logo. This guide covers Free; the visual editor and reusable templates belong to Premium.

Free 1.0.5 is available without a Premium license or a HookSpark account.

1. Set up the store

  1. Install WooCommerce and activate the Free plugin. Free does not require a HookSpark account or Premium license.
  2. Open WooCommerce โ†’ Quote requests โ€” Free. Confirm the store notification email.
  3. Use the built-in quote-list page, or publish a separate page containing exactly one [hs_raq_free_list] shortcode and enter its page ID under Store preferences. Keep the list page separate from the product catalogue.
  4. Check the site’s email transport, store currency and tax settings. Use fictional details and a payment gateway’s test mode for your first complete test.

Native order checks cover WordPress 6.8 / WooCommerce 10.6.0 and WordPress 7.1.2 / WooCommerce 11.1.2 on PHP 8.2.29; current-version checks include HPOS. Catalogue controls have separate checks with Storefront and Twenty Twenty-Five. These checks do not certify every theme, builder or payment gateway. Test your store combination on staging.

2. Choose how purchasing appears

Free settings apply globally to supported simple and variable products. Choose Hide product prices, Hide Add to cart in the catalogue and Hide Add to cart on product pages independently. Variations and quote quantities remain selectable.

Prevent direct purchases of supported products is a separate server rule. Hiding a button alone does not prevent a direct purchase request. Other product types retain their existing purchase flow.

Classic product loops and single-product forms, catalogue Product Collection blocks and the single-product Add to Cart with Options block in block themes have separate local evidence. Custom builders, bundles, bookings, add-ons and multicurrency require their own checks. Clear page/CDN caches after changing storefront settings.

3. Send a customer request

  1. Choose the product, quantity and any required variation.
  2. Select Request quote. The confirmation shows the added product; the quote-list counter updates.
  3. Open the quote list, review products and quantities, then enter name, email and a message and confirm the privacy acknowledgement.
  4. Submit. A request receipt confirms success; the submitted list clears. No order is created and no payment is taken.

The quote list is independent of the WooCommerce shopping cart. If submission fails, keep the existing list and correct the reported field. An exact retry of a successfully committed submission returns its existing receipt.

Free uses essential contact fields. Conditional custom fields, attachments, cart-copy tools and detailed product or customer admission rules are separate Premium capabilities.

4. Publish the proposal and PDF

Open the request in the Free queue. Review the products and enter agreed net unit prices, net shipping, billing address, terms and expiry. WooCommerce calculates taxes using the confirmed billing address. Review the resulting totals before publishing.

Each publication creates a fixed revision. A later proposal does not silently rewrite a revision already shared with the customer. Accepted agreements are locked. The private link lets the customer view the current proposal, download its PDF and accept or decline while it is valid.

Add your logo

In Store preferences choose a local PNG or JPEG from the Media Library, up to 128 KB and 1024 ร— 1024 pixels. Save preferences before publishing the proposal. Published revisions retain their original logo even if store preferences later change.

Free has one Essential PDF layout. It does not include the Premium visual editor, three layouts, reusable design templates, accent-color tools or signature graphics. The logo is part of a branded document; it does not verify the customer’s identity.

5. Continue with a WooCommerce order

Acceptance alone does not charge the customer or reserve inventory. The customer uses the separate order action on the accepted proposal. The plugin checks current availability and prepares a linked WooCommerce order with the accepted prices, address and taxes.

Repeating the action returns the same linked order. Stock-managed variations share their product’s stock owner; allowed backorders follow the WooCommerce policy. If availability is insufficient, the accepted proposal remains available without creating another order. An expired or invalid stock hold must be reviewed before continuing to payment.

WooCommerce handles the gateway, order status and refunds. Use the linked order for payment follow-up and confirm funds in your payment provider. Local synthetic payment tests do not certify real gateway settlement or every third-party hook.

6. Understand email status

Request receipts, store notifications, proposals and decision messages use stored delivery events. The destination belongs to that event; retries do not silently change the recipient or published proposal.

Sent means the site’s email transport accepted the message. It does not prove inbox arrival or reading. Check delivery logs with your email provider. A failed event can be retried from the protected request screen. An event left in Processing after an interruption has an uncertain outcome and is not automatically retried; investigate it before sending another message.

7. Manage private access and records

A private proposal link is a bearer link: anyone holding it may use its permitted actions. Treat it as confidential. The protected manager screen can replace the link and queue the replacement to the fixed customer email. Older guest links then stop working; the proposal and any linked order keep their economic history.

WordPress Tools โ†’ Export Personal Data and Erase Personal Data include Free records. Unaccepted requests may be erased. Accepted agreements, linked orders and uncertain processing email events are retained for separate store review. Review WooCommerce order data separately.

List sessions expire after two days and manager draft inputs after one hour. Proposals and delivery records have no automatic business-record purge. Uninstalling preserves records and clears Free’s scheduled jobs. Establish your store retention policy and backups before launch. These tools are scoped integrations, not a statement of legal compliance.

8. Move between Free and Premium

Premium is a separate package. When both are active, Premium handles new requests and Free suppresses its storefront controls. Keep Free active to manage proposals and orders originally created in Free. Each edition keeps its own records; activation does not migrate or rewrite accepted agreements.

If you return to Free, keep Premium active whenever its historical agreements still need its access and financial protections. Plan an edition change on staging; do not remove the originating plugin as a way to merge request histories.

9. Troubleshooting

The quote page displays products as well as my list.

Create a dedicated page with only the list shortcode, or use the built-in list page. Select that page in Free preferences.

I still see Add to cart.

Check the separate catalogue and product-page switches, supported product type and cache. Use the independent server rule if direct purchasing must be prevented.

The PDF logo is rejected.

Choose a local PNG or JPEG within the documented size and dimensions. Remote images and SVG logos are not accepted.

A private link no longer works.

Check proposal expiry and whether a manager replaced the link. Use the latest customer link; do not publish a bearer URL in a support ticket.

A published proposal cannot be edited.

Published revisions preserve the shared agreement. Review the current state and publish a new revision only where permitted; accepted agreements stay locked.

An email is marked Sent but never arrives.

Check the store’s email transport and provider logs. Avoid repeated sends until you understand the first event’s outcome.
